We're seeking an Executive Administrative Coordinator in our London, UK office to help us take vision to value and create lasting impact.

SUMMARY: 
We are seeking a highly enthusiastic and organized EA with first class interpersonal skills, outstanding communications and administrative skills, who will be prepared to work collaboratively within a growing, vibrant organization.

YOU WILL:

  • Arrange catering and other requirements for in-house meetings and events.

  • Directly support Vice Presidents at least at a 4:1 ratio.  Manage all calendars to include scheduling, coordinating meetings, room set up, conference calls, etc. 

  • Coordinate all details and logistics for domestic/international travel, hotel, car rental, client visits and itinerary.

  • Submit weekly expenses and reconciliation of NH American Express Corporate Card.

  • Assist with special projects, presentations, and analytics as needed.

  • Typing, formatting, and creating documents including meeting notes and follow up proposals.

  • Monitor, manage, and respond to email, voicemail, and other written/printed correspondence.

  • Act as first and primary point of contact for North Highland clients visiting the office.

  • Arrange travel, accommodation and logistics for company events and meetings offsite where required.

  • Organize dinners/events for account teams and executives.

  • Provide ad-hoc and administrative support to teams across the business.

  • Record and maintain action items/minutes/notes from operational meetings.

  • Ensure all action items are followed up after meetings.

  • Organize personal appointments and gifts on ad-hoc basis.

  • Support other Team EAs when on vacation, illness, or in training.

  • Cover reception/Front of House when required.

IDEALLY, WE’D LIKE:

  • Previous experience as an Administrative/Executive Assistant

  • Maintains attention to detail, completing multiple or repetitive tasks. Demonstrates a serious commitment to accuracy and quality while meeting goals or deadlines

  • Have superior organizational skills. Can create and maintain organizational procedures/systems.

  • Thrives in an environment of rapid change and easily handles shifting priorities

  • Proficiency with Microsoft Office applications - Outlook, Word and Excel

  • Strong multi-tasking skills

  • Must be self-motivated, take initiative, and work with minimal guidance or supervision

  • Team player with excellent customer service skills

  • Educated to a minimum of A Level standard. Degree preferred

  • Experience working for a rapidly expanding company

  • Proficient in the use of Microsoft Office
